These Terms & Conditions govern the purchase, use, and administration of holiday memberships, accommodation entitlements, reservation facilities, and related travel services offered by Sole Allies Holidays and Resorts Pvt. Ltd. (hereinafter referred to as the "Company," "Sole Allies Holidays," "we," "our," or "us").
By purchasing a membership, making a payment, submitting a reservation request, or using any service offered by the Company, the purchaser ("Member," "Customer," or "you") acknowledges that they have read and understood these Terms & Conditions, subject to applicable law.
1.1. Membership is offered to eligible individuals who complete the prescribed registration formalities, provide the required information, and comply with the applicable membership plan conditions.
1.2. The Company reserves the right to verify membership applications and supporting documents and to determine eligibility in accordance with its published policies and applicable law.
1.3. A holiday membership provides access to the accommodation benefits and usage entitlements specified in the selected membership plan. It does not constitute ownership of any hotel, resort, apartment, land, or other immovable property unless expressly established by a separate legally valid agreement.
1.4. Membership benefits, duration, accommodation category, permitted occupancy, and total usage entitlement shall be governed by the membership agreement and the plan selected by the purchaser.
1.5. Members are advised to retain their signed membership agreement, payment receipts, membership identification, and related correspondence for future reference.
1.6. Any promotional benefit, additional night, complimentary service, or special privilege shall be applicable only where expressly mentioned in the membership documents or confirmed in writing by the Company.
2.1. The benefits included in a membership shall be limited to those expressly specified in the selected plan and the applicable membership agreement.
2.2. Unless specifically included in writing, the following expenses are excluded from the membership price:
- Spa treatments, wellness services, and beauty salon facilities.
- Food and beverages, except where expressly included in the confirmed package. Discounts, if applicable, shall be subject to the participating property's terms.
- Sightseeing, excursions, adventure activities, and local tours.
- Medical treatment, medicines, and emergency healthcare.
- GST and other applicable taxes or statutory charges, unless expressly included in the quoted price.
- Travel insurance and personal accident coverage.
- Airfare, railway tickets, bus fares, and other transportation expenses.
- Airport transfers, local transfers, and vehicle rentals, unless confirmed as included.
- Passport, visa, immigration, and documentation charges.
- Laundry, telephone, minibar, room service, tips, and personal purchases.
- Additional beds, extra occupancy, additional guests, and other accommodation supplements not included in the confirmed reservation.
- Any other service or expense not specifically stated as an included membership benefit.
2.3. Where discounts are offered through participating hotels or service providers, such discounts are subject to availability, applicable conditions, and the provider's policies.
2.4. The Member shall be responsible for expenses incurred beyond the scope of the confirmed booking or membership entitlement.
3.1. All accommodation requests must be submitted through the Company's designated booking channels, including its authorized email address or customer support team.
3.2. Members are encouraged to submit booking requests well in advance, preferably at least 30-40 days before the intended check-in date. Certain destinations, peak seasons, and premium properties may require a longer lead time.
3.3. A reservation request shall not be considered confirmed merely because it has been submitted, discussed over the telephone, or acknowledged by the customer support team.
3.4. A booking shall be treated as confirmed only after availability has been verified and the Company has issued a written confirmation or electronic confirmation voucher (e-CV), as applicable.
3.5. The electronic confirmation voucher will ordinarily be sent to the registered email address or another verified communication channel. Members should ensure that their contact details remain accurate and accessible.
3.6. At check-in, the lead guest must present the applicable booking confirmation and valid government-issued photo identification accepted by the accommodation provider. Additional identification may be required for accompanying guests in accordance with applicable rules.
3.7. The reservation shall cover only the number of guests and occupancy category specified in the confirmed booking. Any request for additional guests, children, extra beds, or upgraded accommodation shall be subject to the property's policies and may attract additional charges.
3.8. Members must carefully examine the confirmation voucher, including the guest names, property, destination, check-in and check-out dates, room category, meal plan, and occupancy details. Any discrepancy should be reported promptly, preferably within 24 hours of receipt.
3.9. The Company cannot guarantee a requested property, room view, floor, bed configuration, or specific room number unless such a feature has been expressly confirmed in writing.
3.10. No booking shall be deemed guaranteed until the applicable confirmation has been issued.
4.1. All reservations are subject to real-time availability, property participation, seasonal demand, operational conditions, and the restrictions of the selected membership plan.
4.2. The Company does not guarantee accommodation availability during the festive and year-end period from 24 December through 5 January, unless a reservation for those dates has been expressly confirmed in writing.
4.3. A property displayed on the Company's website, brochure, presentation, or other promotional material does not automatically constitute a guaranteed booking option for every date or membership category.
4.4. The participating property network may change from time to time. The Company may add, discontinue, or replace participating hotels and resorts, subject to the terms of the membership agreement and applicable law.
4.5. If a confirmed property becomes unavailable due to circumstances beyond the Company's reasonable control, the Company will make reasonable efforts to arrange suitable alternative accommodation, taking into account the original booking, availability, membership entitlement, and applicable terms.
4.6. Any alternative accommodation arrangement will be communicated to the Member. Where the proposed alternative materially differs from the confirmed booking, the Company will address the matter in accordance with the applicable agreement and law.
4.7. A request for a specific hotel or resort is subject to availability and does not, by itself, create an unconditional right to accommodation at that property.
5.1. Where an exchange facility is included in the selected membership plan, eligible Members may request to use their entitled vacation period at participating exchange properties, subject to the applicable exchange programme rules.
5.2. Exchange requests are subject to participating property availability, the applicable occupancy category, travel dates, destination restrictions, and the Member's remaining entitlement.
5.3. Exchange availability is not guaranteed for every property, destination, or requested date.
5.4. Exchange charges, administrative fees, taxes, or third-party fees may apply where specified in the membership agreement or communicated before the Member confirms the exchange.
5.5. International accommodation may involve additional taxes, currency conversion charges, local fees, or other expenses payable by the Member.
5.6. The Member should obtain written confirmation of any applicable exchange fee and the proposed accommodation arrangements before proceeding.
5.7. Unless expressly permitted under the membership agreement, an exchange request does not automatically extend the membership validity or increase the total number of entitled nights.
6.1. The membership price shall be the amount stated in the membership agreement, invoice, or other authorized written offer accepted by the purchaser.
6.2. Payments may be made through Company-authorized payment channels, including bank transfer, cheque, demand draft, approved digital payment facilities, or authorized card-payment systems, as available.
6.3. Any cheque or bank instrument should be payable in favour of the legal entity specified in the membership agreement or official payment instructions issued by the Company.
6.4. Members should obtain and retain an official receipt or transaction acknowledgement for every payment made.
Payment Advisory: Customers are strongly advised not to make payments into an employee's or sales representative's personal account or to an unauthorized payment recipient. Any payment made outside officially authorized channels may require verification and may not be recognized until validated by the Company's accounts department.
6.6. Where a bank or authorized financial institution offers an EMI or instalment facility, approval, interest rates, processing charges, tenure, and other conditions shall be determined by that institution.
6.7. The Company does not control independent bank decisions regarding credit approval, interest calculations, card eligibility, or financing charges.
6.8. Unless otherwise agreed in writing, payments received against outstanding membership dues shall be adjusted in accordance with the membership agreement and applicable law.
6.9. Any overdue amount, applicable interest, or other contractual charge must be supported by the agreed terms and applicable law.
6.10. A payment receipt confirms the amount received; it does not independently alter the membership duration, entitlements, or other contractual conditions.
7.1. Requests for membership cancellation must be submitted in writing through the Company's officially designated email address or other authorized written channel. The request should include the Member's full name, membership number, registered mobile number, payment details, and reason for cancellation.
7.2. The date on which the Company receives a complete cancellation request may be used to determine the applicable processing timeline, subject to any mandatory statutory requirements.
7.3. Members should refer to their signed membership agreement for the applicable cooling-off period, cancellation conditions, and any permitted deductions.
7.4. Where a cooling-off period is expressly provided under the membership agreement, the Member may exercise the cancellation right within that period by following the prescribed procedure, subject to applicable law.
7.5. Any deduction, administrative charge, or refund restriction must be consistent with the signed agreement and applicable consumer protection and other legal requirements. No contractual provision in this policy is intended to override a mandatory legal right.
7.6. Cancellation requests received after the applicable cooling-off period shall be reviewed under the membership agreement and applicable law. Refund eligibility, if any, shall be determined accordingly.
7.7. The Company will communicate the outcome of the cancellation request and any approved refund amount, applicable deductions, and expected processing timeline.
7.8. Refunds, where approved or legally due, will ordinarily be processed through the original payment method or another verified payment method agreed with the Member, subject to banking procedures.
7.9. The time taken by banks, card issuers, or payment gateways to credit a processed refund may be outside the Company's direct control. The Company will provide available transaction details where reasonably necessary.
7.10. A booking cancellation and a membership cancellation are separate matters and shall be handled under their respective applicable terms.
7.11. Nothing in this section shall exclude or restrict any refund, cancellation, or other remedy that a customer is legally entitled to receive.
8.1. Requests to amend confirmed travel dates, guest names, room categories, or other booking details must be submitted promptly and are subject to the hotel's policies and availability.
8.2. Amendments may result in additional charges or may be unavailable, depending on the property, booking conditions, and timing of the request.
8.3. A Member who fails to arrive on the confirmed check-in date without notifying the Company or property may be treated as a no-show under the applicable booking conditions.
8.4. Refunds, reinstatement of nights, or restoration of membership entitlements following a cancellation, amendment, or no-show shall be governed by the membership agreement and applicable property rules.
8.5. No transfer of a confirmed reservation to another person shall be permitted unless approved in writing by the Company and accepted by the accommodation provider.
9.1. Memberships are governed by the rights and restrictions set out in the relevant membership agreement.
9.2. A Member may not sell, assign, transfer, or otherwise dispose of membership rights without following the Company's prescribed procedure and obtaining any approval required under the agreement.
9.3. Any approved transfer may be subject to verification, documentation, outstanding dues, administrative requirements, and applicable legal provisions.
9.4. A booking confirmation is issued for the registered guests and dates stated on the voucher. Changes to the lead guest or transfer of the reservation require written approval where applicable.
10.1. Members must provide accurate information during registration, payment, and booking procedures.
10.2. Members are responsible for reviewing the membership agreement and understanding the entitlements, limitations, applicable charges, and reservation procedures associated with their selected plan.
10.3. Members should maintain current contact details and promptly inform the Company of any change in their registered email address or mobile number.
10.4. Members must comply with the check-in requirements, safety instructions, property rules, and lawful directions of hotel or resort personnel.
10.5. Members shall be responsible for damage, loss, or additional charges attributable to their own conduct or that of persons travelling with them, subject to applicable law and the relevant property's documented policies.
10.6. Members should not make false representations, submit forged documents, misuse membership benefits, or attempt to obtain services through unauthorized means.
11.1. Members are responsible for assessing their personal health, mobility, and suitability for their planned travel and activities.
11.2. Travel insurance is recommended, particularly for international travel, adventure activities, medical emergencies, and unexpected travel disruption.
11.3. The Company is not an insurer and does not provide insurance coverage unless a separate insurance product is expressly arranged and confirmed.
11.4. Responsibility for personal belongings, valuables, and property left at a hotel or resort shall be determined under the applicable property's rules and applicable law.
11.5. Any claim involving injury, illness, or damage shall be assessed according to the actual circumstances, the services involved, the responsibilities of the relevant service provider, and applicable law. Nothing in these Terms & Conditions excludes liability that cannot legally be excluded.
11.6. Members should promptly notify the relevant property and the Company of any material incident relating to a confirmed booking so that appropriate assistance can be considered.
12.1. Members and accompanying guests must behave respectfully towards hotel staff, other guests, Company representatives, and service providers.
12.2. Threatening conduct, harassment, violence, unlawful activity, deliberate property damage, or serious disruption may result in action by the accommodation provider or the relevant authorities.
12.3. A property may refuse service or require a guest to leave where permitted by law and its applicable policies.
12.4. Where a Member's misconduct causes additional costs, property damage, or loss, the responsible person may be required to bear reasonable, substantiated charges in accordance with applicable law.
12.5. Any resulting cancellation, refund, or compensation determination shall be made under the applicable membership agreement, booking conditions, and law.
12.6. The Company will not be responsible for the independent conduct of a guest or third party to the extent that such responsibility is not imposed upon it by applicable law.
13.1. Members travelling within India or internationally must carry valid identification and other documents required by the relevant authorities and accommodation providers.
13.2. International travellers are responsible for checking passport validity, visa requirements, immigration rules, health requirements, and applicable travel advisories before departure.

14.2. Where such circumstances affect a booking, the Company will make reasonable efforts to communicate material updates and explore feasible alternatives in accordance with the booking terms and applicable law.
14.3. Any change, rescheduling, cancellation, or refund arising from such events shall be handled according to the relevant booking conditions, the membership agreement, the responsibilities of the service providers, and applicable legal requirements.
14.4. Members are encouraged to check official travel advisories before departure and to follow instructions issued by competent authorities.
